December 2019 holiday hours and schedule

City offices will be closed starting at noon December 24, 2019 through January 1, 2020.
If you will be taking advantage of the holiday leave period:

  • Make sure your voice mail and outlook email OOO (out-of-office assistant) indicates that you’ll be out of the office for the holidays (starting at noon December 24, 2019 through January 1, 2020).
  • Voice mail scripts are provided at the bottom of this page, for your convenience.
  • A department-specific message can also be used.

Important payroll information:

  • Prior to leaving, check in with your timekeeper or manager to ensure that you have designated what type of leave balances you will be using for the time off. Be sure that your timesheet is correct and submitted.
  • Remember, you can only use vacation, holiday leave, personal leave time, management leave, comp time you’ve earned, or you can be off without pay. Sick time cannot be used.
  • If you are using "Off without pay-Holiday Closure" during the City’s flexible-leave period, make sure you use the pay code that is called: “OFF WITHOUT PAY-HOLIDAY CLOSURE”. Using this code will ensure that you receive proper sick and vacation accruals for the period.
  • If you use any other “OWP” pay code your sick and vacation accruals will not calculate properly and they will not be adjusted after payroll has been submitted.
  • Supervisors, if you are taking time off, please remember to delegate one person to approve the time sheets of your employees. If you are not scheduled to return to work until after January 3, 2020, you must submit your time sheet and/or delegate one person to approve your employees’ time sheets for the pay period of 12/21/2019-1/3/2020. Employee time sheets are due on Thursday, January 2 and approved by supervisors before 3 p.m. on Friday, January 3.

If you will be working during the holiday leave period:

  • Check with your supervisor prior to the holiday leave period to assure proper arrangements are made. You may be asked to report to and work in a different location other than your normal work space.
  • It is imperative that those individuals working at the Civic Center DO NOT access or exit the building through the rotunda doors. Use side card-key entry doors only.
